PRIVACY POLICY

How BIRKFELL handles your data.

This policy explains what personal data this website processes, why, and which rights you have. It covers only what this website actually does today — nothing more.

Last updated: November 2026

  1. Who is responsible for your data

BIRKFELL is a Dutch sole proprietorship (eenmanszaak), registered with the Dutch Chamber of Commerce (KVK) under number 42210551, and is the data controller for personal data processed through this website (birkfell.nl).

Registered business address: Handelstraat 21, 4571 XA Axel, Netherlands.

You can reach us about any privacy question through the contact form on this website or by email at info@birkfell.nl.

  2. What we collect through the contact form

When you send us an enquiry, we process the information you enter:

    • Your name (required)
    • Your email address (required)
    • Your message describing what you would like to improve (required)
    • Your company name (optional)
    • The area your enquiry relates to (optional)
    • The language version of the website you used and the time of submission
  3. Why we process this data

We use the information you provide solely to respond to your enquiry and to prepare and conduct a possible follow-up conversation about our services.

The legal basis for this processing is our legitimate interest in responding to business enquiries addressed to us, and — where your enquiry aims at engaging our services — taking steps at your request before entering into a contract (Article 6(1)(b) and 6(1)(f) GDPR).

We do not use your enquiry for marketing, newsletters or profiling, and we do not sell or share your data with third parties for their own purposes.

  4. Required and optional information

Only your name, email address and message are required, because we cannot respond without them. Company name and subject area are optional and simply help us understand your situation better.

  5. How your enquiry is delivered

This website does not store your enquiry in a database. When you submit the form, your message is transmitted as an email through Resend, our email delivery provider, to the BIRKFELL mailbox, where it can be read and answered.

Your email address is set as the reply address of that message so we can respond to you directly.

  6. Technical security and hosting

The website is served over an encrypted connection (HTTPS). The contact form uses server-side validation, a hidden anti-spam field and a short per-visitor sending limit to prevent misuse. For that limit, your IP address is held temporarily in server memory and is not stored permanently.

As with any website, our hosting provider processes standard technical logs (such as IP address and browser information) to operate and secure the service. These logs are controlled by the hosting provider.

  7. Service providers

To run this website and handle enquiries, we use a small number of service providers:

    • Resend — delivers contact-form enquiries to our mailbox by email
    • Lovable — hosts the website, sets the strictly necessary platform cookie described below and processes privacy-friendly visitor analytics on our behalf
    • Cloudflare — protects the website against automated traffic and sets the strictly necessary security cookie described below
    • Our mailbox provider — stores the delivered enquiry emails
  8. International transfers

Some of our service providers, including Resend, are established outside the European Economic Area or process data there. Where personal data is transferred outside the EEA, this takes place under the safeguards those providers offer, such as standard contractual clauses. We are still verifying the exact safeguards per provider and will update this policy once confirmed.

  9. How long data is kept

This website itself does not keep a copy of your enquiry. Your message exists as an email in our mailbox and in the systems of the providers involved in delivering it.

BIRKFELL intends a maximum retention period of 30 days for temporary debugging and workflow data. This intention has not yet been verified as technically enforced across all providers, so we do not claim it as a guarantee here. Retention of enquiry emails and provider-controlled records currently follows the arrangements of those providers; we are reviewing these and will update this policy with confirmed retention rules.

  10. Your rights

Under the GDPR you have the right to:

    • Access the personal data we hold about you
    • Have inaccurate data corrected
    • Have your data erased
    • Restrict or object to processing
    • Receive your data in a portable format
    • Withdraw consent, where processing is based on consent
  11. How to submit a privacy request

You can submit any privacy question or request through the contact form on this website or by email at info@birkfell.nl. We will respond as soon as reasonably possible and in any case within the term set by law.

  12. Complaints

If you are not satisfied with how we handle your personal data, you have the right to lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens) via autoriteitpersoonsgegevens.nl.

  13. Security

We apply reasonable technical and organisational measures appropriate for a website of this kind, including encrypted connections, server-side input validation and misuse protection on the contact form. No method of transmission or storage is completely infallible, so we do not promise absolute security.

  14. Cookies and similar technologies

This website uses only essential cookies for security and technical operation. Cloudflare sets the __cf_bm cookie for protection against automated traffic (approximately 30 minutes). The Lovable hosting platform uses the __dpl cookie for technical platform functionality (approximately 24 hours). We do not request consent for these essential cookies.

We also use Lovable's built-in visitor analytics to understand page views, interactions and website performance. Based on our technical review, this analytics service does not use cookies or browser storage and does not track visitors across separate visits. Processing may nevertheless involve technical visit data.

We currently do not use advertising pixels or marketing tracking. This website does not store data in your browser's local or session storage for its own purposes. Fonts are hosted locally, so visiting a page does not send your data to a font provider.

  15. Updates to this policy

We may update this policy when the website or our processing changes. The date at the top of this page shows when it was last revised.
